Yes, we can record the talk.
Note that we can only provide a single point video conference connection with our Polycom unit (we do not have the multi-point option). If UCI or UCLA has the multi-point option, we may be able to have the talk go to both sites. It is very important to test the connection in advance (whether it is just with one site or with both sites). Our video technician, Steve Hopper, left voice mail for Don Roblie(sp?) at UCI yesterday afternoon to test the connection in advance.
Our conference room is heavily booked tomorrow. It would be best if we can get the tests done mid-morning tomorrow. If we can get the techs from UCI and UCLA to contact Steve Hopper between 9:30am and 10:30am (the room is open until 11am) tomorrow morning we can get the testing out of the way and be sure that there will be no problem at the time of the talk. There is a chance we can squeeze some time in later. But, the morning is our best shot. Both sites will need to have compatible video conferencing equipment and one site will need the Polycom multi-point option if we are going to hook up multi locations to this talk.

I see that another message came after I started this reply where UCLA is bowing out this time around. We would be happy to try the multi-point setup so that future talks can be shared between the campuses. Just coordinate the tests with Steve Hopper.

- I will have the videoconference unit ready to go in Room 3008 for tomorrow's meeting. I will also setup the video camera to capture the
meeting on tape. I can be available before the meeting to do tests and setup and to be get your meeting started but cannot stay for the entire event. If you have someone that can point the camera where it needs to be and change tapes, if necessary, I think we are in business. I'm not quite sure if this will be the most elegant way to record the talk or if having the remote sites included in the video is essential. I have been sick and out of the office (still out today) but I do not believe that I heard from the UCLA vid tech. I am not terribly concerned with the video between UCI and UCSD as we do this routinely. I am concerned about possible equipment incompatibilities between UCI and UCLA and would be willing to be available for a test in the morning. If you would like to try to arrange this, I will make sure we are ready to go. I am available at 10am and 11am tomorrow.
I just received an email from Shellie saying that UCSD will not be recording. The room they have scheduled does not have the capability. From the email, it appears that they were planning to record the videoconference through the videoconference system, which I have not done before. -- Chris

Doug... We do not have a setup for recording a Polycom-style standard videoconference. If you need it archived, you'll have to talk with Chris Battista at UCI Calit2, in case he knows how to record a videoconference in real time (it probably depends on the system they have). And our live webcasting is only done in the auditorium, or the smaller theater on special occasions. So there is no way to webcast the videoconference or archive it as streaming video. As Anna Lynn writes below, if you have a budget, you could hire Iain Grainger to shoot the event and turn that tape into a streaming video after the fact... in which cases, we'd be happy to post the talk on our Calit2 server free of charge. But I suspect the cost of hiring Iain will be non-trivial, if you know what i mean. -DR

Doug... The organizers have wanted a smaller venue for previous talks in this series, so they have been doing them in the Computer Science and Engineering auditorium, which is not outfitted for webcasting. The only prior one in the Calit2 auditorium that was webcast was by Christos Papadimitriou of UC Berkeley, on "The Algorithmic Lens: How the Computational Perspective is Transforming the Sciences", from December. I can't find the link, only the raw pre-edited file, so I'll send you the URL when we post this latest one as well early next week.
Re: doing a joint talk with Calit2 in both locations, or bringing in other campuses... you'd have to discuss that with the relevant organizers of different talk series. In the case of our Behavioral, Social and Computational Sciences Seminar Series, it would be Mathew McCubbins and Mohan Paturi. If you only want to have Polycom-style interaction (which is the model for your complexity series), you could link with the CSE Auditorium where they hold most of their talks... but you would not have a live webcast or archived webcast (altho I believe there is a way to record the Polycom session, altho I have never done one).
If you only want to hook up UCI and UCSD, the very best videoconferencing capability is between the two Calit2 buildings, where we have high-definition videoconferencing. But you would be limited in the number of attendees (here at UCSD, that room would only accommodate about 40 attendees). For that, the best route is to approach G. P. Li <gpli@calit2.uci> 4-9073, our director at UCI, or Shellie Nazarenus, the Communications Manager on his staff, 4-9622, snaz@calit2.uci.edu.
Re: how much it would cost to do a live videoconference... if it's booked by Mohan Paturi in the CSE Auditorium, I don't believe there is any cost, except for one technician's time to make sure the feed remains up. But that space is only accessible if it's booked by a profesor in computer science. To hold an event in the much bigger Calit2 Auditorium, we can book it, but there is a recharge rate (I believe it is $100 for an hour seminar) plus recharge to do a live and archived webcast ($45, the hourly rate for a person to switch the camera feeds, record the webcast and post it on our server). If you want to use live videoconferencing as well, a hookup between UCSD and UCI would probably not cost anything, but if we have to use a multi-point switch to bring other campuses into the event, there may be the cost of someone on our A/V staff (also $45/hr) to set it up and monitor the videoconference in real time.
I'm not sure whether we have a perfect couterpart group on complexity here... but looking at your past speakers, many address topics that DO resonate with Calit2. I'd strongly suggest that you bring it up with either Mat/Mohan, or someone else at UCSD who may be involved with your existing complexity talk series, and if they are involved with Calit2 at UCSD, there should be no problem collaborating.

Doug... Just to clarify: the only "cheap" way to do a live and archived webcast is if it occurs in the Calit2 Auditorium, where we can also do standard videoconferencing. But we have videoconferencing in ALL of our meeting spaces. The largest "free" one is Room 4004, which can seat up to 45 people, and has at least one plasma display with videoconference capability at all times. I just checked the schedule, and Alice seems to have already booked that space for you. But again... that will allow San Diego people to participate in the videoconference. But I don't believe that we have any method for recording the videoconference for posterity. And we don't originate webcasts from those smaller rooms. Indeed, webcasting on that day will be difficult, but for most of the day, we are already planning a live webcast from the La Jolla Bioinformatics Conference in the auditorium, organized by Calit2's Center for Algorithmic and Systems Biology, which runs until 5pm. The only solution, if you want a video record of the videoconference, is that we could assign a cameraman to be in 4004 and videotape the plasma screen and the San Diego space, which could then be digitized and archived as a webcast. This will take at least three hours of his time, at $45/hr. Let me know if you want to pursue this. Cheers, Doug
